Reporting to the Chief Medical Officer and working independently, provides supervisory and administrative services to members of the Medical Staff Office and Administration. Overall responsibilities include supervision and evaluation of the performance of Medical-Dental Staff Office personnel including both permanent and temporary employees; the coordination of Medical-Dental Staff Office appointment and reappointment processes, coordination of support of various hospital committees and preparation of a wide range of statistics and reports..
Supervises and evaluates the performance of the Executive Assistant to the Medical Staff, the Medical Staff Coordinator, the Medical Staff Credentialing Assistant, and various Medical Staff Office personnel.
Coordinates and monitors new physician application processes to final Board of Trustees approval, after said application is deemed “complete” by the Medical Staff Coordinator. Completes follow-up after approval at Board meeting.
Coordinates and monitors the reappointment and provisional review processes of the Medical Staff. Works with various Hospital departments including Medical Records, Quality Improvement and Information Services. Division Chairmen and other personnel as necessary to complete each Department’s reappointment/reappraisal documentation according to Policy/Procedure and Medical Staff Bylaws.
Oversees the gathering and distribution of information for meetings of various Hospital committees, including the Credentials Committee, the Executive Committee of the Medical Staff and the Professional Affairs Committee of the Board of Trustees; prepares agendas, records and transcribes minutes promptly; handles follow-up resulting from meetings.
Coordinates and monitors the process for non-applicant temporary privileges, proctors and Locum Tenens staff to include the completion of necessary paperwork and approvals for physicians requesting locum tenens and temporary privileges and forwards these requests to the office of the Chief Executive Officer.
Develops and maintains a policy and procedure manual for the use in the Medical Staff Office regarding the department and Medical Staff functions. Prepares the Medical Staff Department and Medical Director’s budgets and monthly variance reports.
Engages in a variety of contacts at local chapter meetings of National and Illinois Association of Medical Staff Services and other appropriate organizations in order to obtain or relay information concerning medical staff services and other necessary information.
Maintains records and processes to insure that physicians have current licensure and malpractice insurance. Maintains records and processes to insure that all physicians pay yearly Medical Staff dues. Oversees the establishment and maintenance of physician credentialing and other files and the data base of physicians, their privileges, and other information. Oversees the creation and maintenance of various reports on the Medical Staff Line credentialing software, including a current roster of the Medical Staff, updated after every Board of Trustees meeting.
Prior experience in medical staffing and physician credentialing. A High School Diploma or its equivalent. CPMSM (Certified Professional Medical Staff Management) Certification or eligibility preferred. CPCS (Certified Provider Credentialing Specialist) also al plus. The demonstrated leadership skills to effectively oversee the day-to-day functions of the Medical Staff Office. Working knowledge of spreadsheet and word processing software. Previous experience with Microsoft Excel and Word highly desirable. The ability to develop a working knowledge and an understanding of the Medical-Dental Staff Office computer system and be able to extract information as requested by various hospital departments for marketing and planning purposes. A high level of organizational skills and the analytical ability to perform difficult data gathering, prepare and process documents and to maintain recovery. Proficient typing and administrative skills highly desirable. A high level of interpersonal skills in order to communicate effectively with the Medical-Dental Staff Office and various levels of hospital staff and visitors. The ability to maintain a high level of confidentiality.

Senior Coordinator, Medical Staff Office - Northwestern Memorial Hospital
Credentialing and Privileging: Facilitate applicant interview and application release process. Assist with reappointment and renewal of privileges for the hospital’s medical staff. Monitor tasks in MSOW database to provide status information to applicants/re-applicants and hospital or NMHC staff. Facilitate and manage the presentation of applications/reapplications and privileging to departments, committees, and to Board for final approval; assist with approval letters and activation of privileges. Process requests from medical staff for credentialing, demographic data, status and/or privileges changes. Manage the Focused Professional Practice Evaluation process for the hospital’s medical staff utilizing MSOW database. Assist with investigation of issues/data analysis related to hospital’s medical staff. Support and collaborate with NMHC medical staff administration and credentialing operations on development and maintenance of privileges forms and criteria related to the hospital and medical staff. Respond to inquiries from other healthcare organizations.
Compliance and Governance: Maintain the bylaws, rules, regulations, policies and procedures for hospital and organized medical staff. Prepare for and participate in accreditation/regulatory reviews and ongoing compliance with regulatory standard. Perform internal audits of files received from NMHC central verification and primary verification office; prepare audit summary reports and provide to Manager on regular basis.
Operations: Serve as primary administrator for correspondence to practitioners of the hospital’s medical staff. Support the Sr. Vice President/Chief of Staff, and the officers of the organized medical staff. Facilitate and manage assigned medical staff committees, to include but not be limited to agendas, minutes and distribution of meeting materials. Serve as primary administrator for AMION call scheduling. Manage the collection of dues of the medical staff. Maintain the department page on NMI. Manage budget tasks assigned to include but not be limited to processing invoices, participation in annual budget planning, etc.
Additional Functions: Support events of the medical staff and physician outreach, such as, Doctor’s Day, annual receptions, etc. Participate in medical staff and credentialing verification service meetings and training sessions as required. AA/EOE
